1. Who we are

2. What data we collect and why
When you submit the "Start free trial" form on our website we collect:

We do not collect sensitive personal data, payment data, or behavioural tracking data via this form.
3. How your data is handled
When you submit the form, your details are delivered to us as a notification email. No database stores your submission - the data lands directly in our private business mailbox and nowhere else within our systems.
Once you are contacted and a decision is reached - either a contract for Equidentity is signed, or you decline - your submission details are deleted from our mailbox. If no response is received within 90 days of your submission, we delete your data at that point.
You can request deletion of your data at any time by emailing hello@equidentity.be. We will confirm deletion within 5 business days.
4. Who receives your data
Your submission is transmitted via Resend (Resend Inc., USA), an email delivery service we use as a data processor. Resend receives your name and email address solely to deliver the notification to us. Resend is bound by a Data Processing Agreement and participates in the EU–US Data Privacy Framework.
If you accept marketing cookies, Meta Platforms Ireland Ltd. receives data about your visit through the Meta Pixel and, if you then sign up, your email address and phone number in hashed form. See section 7.
We do not sell, rent, or otherwise share your personal data with any other third party.
5. Your rights under GDPR
As a data subject you have the right to:
- Access - request a copy of the personal data we hold about you.
- Erasure - request deletion of your data ("right to be forgotten").
- Rectification - request correction of inaccurate data.
- Portability - receive your data in a structured, machine-readable format.
- Objection - object to processing based on legitimate interests.
- Restriction - request that we restrict processing in certain circumstances.
To exercise any of these rights, email hello@equidentity.be. We will respond within 30 days.
6. Right to lodge a complaint
If you believe we have handled your data unlawfully, you have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données):

7. Cookies and the Meta Pixel
We use the Meta Pixel, a tracking tool from Meta Platforms Ireland Ltd. (4 Grand Canal Square, Dublin 2, Ireland), to measure how our advertising on Facebook and Instagram performs and to show our ads to people who visited this website. The Meta Pixel only loads after you click "Accept" in the cookie banner. If you click "Reject" or do nothing, no data is sent to Meta and no Meta cookies are set.
When it is active, the Meta Pixel sends Meta information such as the pages you visit, the time of your visit, your IP address, browser and device details, the referring page, and an identifier stored in a cookie. If you are logged in to Facebook or Instagram, Meta can link this to your account.
When you submit the trial sign-up form, we report this to Meta as a "lead", together with which form you used and the plan you chose. This happens both from your browser and from our server (Meta Conversions API), so the sign-up is still counted when an ad blocker interferes; Meta merges the two reports into one. The server report also contains your IP address, browser details, the Meta cookie identifiers above, and your email address and phone number in hashed form (SHA-256), which Meta uses to match the sign-up to a Facebook or Instagram account. We do not send your name or stable name to Meta. None of this happens if you did not accept cookies.

Legal basis: your consent (Art. 6(1)(a) GDPR and the ePrivacy rules on storing information on your device). For the collection and transmission of this data to Meta, Equidentity and Meta are joint controllers (Art. 26 GDPR), under Meta's Controller Addendum. Meta is responsible for its own further processing, described in the Meta Privacy Policy, where you can also exercise your rights towards Meta.
International transfers: Meta may transfer data to Meta Platforms, Inc. in the USA. Meta participates in the EU–US Data Privacy Framework and also relies on Standard Contractual Clauses.
You can withdraw or change your consent at any time, as easily as you gave it: open cookie settings (also linked in the footer of every page) and click "Reject". Withdrawing consent does not affect processing that took place before.

If we make material changes we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically.
